Privacy policy
How dcently handles personal data in the Sustainability Pulse, on our contact lists and on dcently.com.
Who we are
dcently is an independent industry network for sustainable data centres. The data controller for the personal data described in this policy is dcently, a non-profit association (ideell förening), organisation number 802557-4834, Gymnasiegatan 16, 784 40 Borlänge, Sweden. Pulse survey answers
Pulse surveys are designed so that survey responses are not linked to your identity. We do not collect your name, employer or email address as part of your survey response, and contact details provided after completing a Pulse are stored separately from survey answers.
We collect: your answers, and profile context you choose to give (such as part of the ecosystem, role/perspective and country). Free-text answers are grouped into themes by dcently; please do not write personal information in them. If a free-text response nevertheless contains personal information, we may remove or anonymise that information before using the response for analysis or publication. Identifying information may also be deleted when identified.
Purpose and legal basis: aggregated industry analysis and publications, based on dcently's legitimate interest in producing independent industry research. Public results are reported only for groups of at least five respondents. We may also suppress, combine or editorially review results where necessary to reduce the risk that an individual could be identified from a combination of characteristics. Survey answers are kept as part of our long-term dataset to compare results over time.
Contact lists and consent
After a Pulse you can choose, separately and with unticked boxes, to:
- be invited to future Pulse surveys;
- receive Pulse results, reports and news from dcently;
- be contacted about dcently membership.
For these we collect your email and, if you give them, first name, last name and company. We also record which choices you made, the exact wording you agreed to, and when.
Legal basis: your consent. Your contact details are stored separately from your survey answers and are never used to identify your answers. We only contact you for the purposes you ticked. We keep your contact details until you withdraw your consent or they are no longer needed for the purpose for which you signed up. We periodically review our contact lists and remove inactive or outdated records.
Best-practice examples
If you share a best-practice example after a Pulse, we store the example, your reason and any link — without contact details — to develop the dcently ESG Playbook (legitimate interest).
Contact form
When you contact us through the website we store your name, email, organisation and message to reply to you (legitimate interest). We delete these when they are no longer needed for the conversation, at the latest after two years.
Admin accounts
Staff who manage the platform sign in with an account (email, or Google sign-in). This data is used only to give access to the admin area.
Legal basis: dcently's legitimate interest in securely administering and protecting the platform. Account information is retained while the person has authorised administrative access and is deleted or disabled when that access is no longer required.
Cookies and technical data
dcently does not use advertising or behavioural tracking cookies in connection with Pulse responses. We may use strictly necessary cookies or similar technologies required for security, authentication or website functionality.
Our hosting and technical infrastructure may process limited technical information, such as IP addresses, browser information, timestamps and server logs, for security, troubleshooting and operation of the service. We do not use this information to intentionally link an individual to their Pulse responses.
Who can access the data
Only dcently administrators can see raw answers and contact lists. We never sell personal data. Partners and sponsors never receive raw answers or contact details — only the published, aggregated results.
We use carefully selected service providers for hosting, database and email delivery. They process data only on our instructions under data processing agreements. Where personal data is transferred outside the EU/EEA, we rely on an applicable adequacy decision or appropriate safeguards such as the European Commission's Standard Contractual Clauses, where required.
Your rights
Depending on the processing and the circumstances, you may have the right to access, correct or delete your personal data, restrict or object to processing, withdraw consent, and, where applicable, receive your data in a portable format. You can unsubscribe from any list by emailing hello@dcently.com, and every email we send will include an unsubscribe link.
Because survey responses are not linked to your identity, we are normally unable to match them to you, and therefore cannot retrieve or delete an individual set of answers.
If you think we handle your data incorrectly, you can complain to the Swedish Authority for Privacy Protection (IMY), imy.se.
Security
Data is stored encrypted with a trusted cloud provider, with access limited by role. Survey answers and contact details are kept in separate records.
Changes
We update this policy when our handling changes. Last updated: 30 September 2026.
